A Japanese medical device manufacturer in the suburbs of Amsterdam is looking to recruit someone who can support their office administration function.
In this role you will be responsible for a wide range of duties including financial, purchasing and shipping.

Due to the company profile – an understanding of Japanese culture and some Japanese- speaking skills will be advantageous.
TYPE: 1-year contract with a view to become permanent

WORKING HOURS: 40 hours/week

SALARY: around €40K/year depending on experience (negotiable)

START: TBC

LOCATION: suburb of Amsterdam, the Netherlands

CORE RESPONSIBILITIES:
Financial Administration:
- Act as the main contact person for any financial administration queries
- Create payment batch in software, responsible for ensuring that incoming invoices are booked by the accountant and paid by the due date
- Issue invoices to customers (end-user, distributors, Japan Head quarter) worldwide
- Accountable for A/R and received payment
- Update transactions and cashflow reports in excel

Purchasing/ Stock Control
- Placing purchase orders for suppliers and supervise the delivery date and payment
- Creating work orders
- Receive goods and process the information in EXACT
- Make sure that physical stocks, stock date in EXACT, demand/production plan (necessary stock) and delivery schedule are well aligned
- Deliver goods in EXACT

General Affairs
-Pick up phone calls in the office and forward to the appropriate person
-Receive mails/letters sent to the company and address them to appropriate person in charge
-Ad-hoc support

Sales Administration and Support.
- Generate sales order in EXACT based on purchase order/relevant data update

Logistics Administration
- Creating export/shipping documents to ship(export) goods, arrangement of picking up dates with shipping companies, communicating with customer/Head Quarter for shipping arrangements

IDEAL CANDIDATE:
-Experience in an administrative role
-Good PC skills, variety of software/application/cloud environment etc
-Experience in EXACT on-line software is highly advantageous
-Language: business level of fluency in Dutch and English are required
-Understanding of Japanese language and culture are highly advantageous, other language skill is also appreciated but not necessary
-Willingness to learn and play role in different administrative area such as logistic, purchase, sales support and general affairs

-Experience and knowledge in at least one of below area is highly advantageous.
- Experience in purchasing and operations of MRP/stock control process
- Experience in book-keeping, payroll and financial administration
- Experience in sales administration towards multinational business where different regulation, VAT, Tax and business custom are required including receiving PO, generating SO, invoicing and liaison within company to make sure the correct order is to be delivered to customer
- Experience and general knowledge of logistic/export/incoterms
- Experience as Financial Controller and good understanding of accounting and financial reporting principles and practices
