RESPONSIBILITIES:
• Routine administrative support to five teams of professional staff (40 persons)
• Support travel arrangements and logistics for team members
• Support travel arrangements for overseas visitors
• Administration for staff training and conference planning and booking
• Support Administration Manager to manage and maintain group diaries
• Booking of regular staff meetings and agenda preparation
• Administrative support as needed to the Director and senior management/offshore team
• Travel
• Meeting arrangement (21 persons) under the guidance of the Administration manager of Division
• Record keeping and data base management as needed
• Any other administrative duties that may be instructed by Division management
• Reporting to Administration manager of Division
• Outside office events arrangement
• Reception cover when needed
• Meeting and greeting Clients
• Answering and forwarding phone calls
• Arranging Couriers and sorting post
• Ordering stationary
SKILLS AND EXPERIENCE REQUIRED:
• Office / corporate experience including booking flights/visa’s experience through agent
• Proficiency in MS Office Excel, Word, PowerPoint
• Good attention to detail, time management skills and a flexible attitude
• Knowledge of Japanese culture of language would be advantageous
