An in-house insurance and reinsurance Broker for a large Japanese company is currently recruiting an Accounts & Administration Manager.
You will oversee the staff work and operation of Accounts & Administration Department, and act as a company compliance officer, keeping up to date knowledge about any regulatory changes and disseminate the information to staff of the company in a timely and effective manner.
Ideal candidate should have strong accounting skills and experience (including understanding of bookkeeping, understanding of income statement, balance sheet and cash flow).
Understanding of Japanese culture and some Japanese skill would be advantageous.
POSITION TYPE: Full-time, permanent
SALARY: up to £50,000 depending on experience, plus benefits

START DATE: ASAP (latest beginning of April 2022)

KEY RESPONSIBILITIES

Accounts Duties:
-Oversee staff work and operation of Accounts & Administration Department
-Accurate accounting & financing operations in a timely manner
-Continuously seek improvements on more streamlined accounting & finance operations
-Maintain Brokasure & SAGE accounting systems and liaise with the providers for any issues
-Finance, Control General Cash with time deposits and FX transactions in a timely manner
-Extract Premium/Commission DATA and Prepare Excel Pivot Tables as required
-Maintain and reconcile the Client Bank Accounts in accordance with FCA regulations
-Deal with & oversee year end statutory audit and client money audit (CASS5)
-Produce reports required by the MD (i.e., P&L, BS, Income list and others as requested)
-Report annual balance confirmations to MD
-Preparing and attending semi-annual balance report meeting with their parent company
-Prepare, file and post quarterly VAT returns, prepare and post the annual VAT adjustment
-Be aware and keep up to date with changes in VAT rules
-Liaise with the accounting firm for the preparation, file, and post corporation tax returns
-Liaise with and maintain professional relationships with external auditors
-Liaise with and maintain good relationships with parents’ company’s Accounting & Finance Depts
-Liaise, collaborate, and maintain good relationships with their group companies

Compliance Duties
-Act as a company compliance officer, keep up to date knowledge about any regulatory changes and disseminate the information to staff of the company in timely and effective manner
-Maintain professional relationships with regulatory bodies (e.g. FCA)
-Prepare, file and post FCA Gabriel reports semi-annually
-Support General Business processes including disaster recovery planning etc
-Handling counterparty documentations
-Review and approve TOBAs / Service Agreement to be signed by MD
-Monitoring various contracts, tenancy, and service agreements

General Administrative Duties
-Providing general administrative affairs
-Maintaining IT assets (PC, Mobile phones etc)
-Providing administrative support for board meetings
-Booking accommodation and flights for business trips
-Ordering office supplies/dealing with post
-Administration of staff corporate cards
-Maintain their WEB sites data
-Various other administration as required, i.e., checking staff expenses are correctly completed before settlement and filing
-If required, some clerical work as a member of production department, for example, receiving data from clients and processing them for submitting to insurance companies


KEY SKILLS AND EXPERIENCE REQUIRED
-Have proven experience in a similar role
-Have strong accounting skills and experience (including understanding of bookkeeping, understanding of income statement, balance sheet and cash flow)
- Be part-qualified accountant or have another relevant qualification in accounting such as Advanced Certificate in Bookkeeping/AAT Bookkeeper status or the Japan Chamber of Commerce of Industry Bookkeeping level 3 or above
- Experience of accountancy work in both Japanese and UK companies
- Excellent communication skills (Both English and Japanese language)
Ideally experience of working in insurance industry
- Ideally experience of using SAGE (accounting software)
- Be proficient in MS Office (Word, Excel, Outlook etc)
- Focussed on developing their career in accountancy and would consider further study
- Be detail oriented and have strong administrative skills
- Be able to demonstrate a collaborative working style
- Results oriented and flexible - be adaptable, able to meet deadlines and to work with all types of individuals based locally or at our overseas branches
- Self-motivated, commercially oriented, and driven individual
- Have excellent attention to detail
- Be able to manage their time effectively and demonstrate excellent organisational skills
