An exciting opportunity has arisen with a machinery manufacturer in the West of London.
The candidate will be responsible for the overall management of the office and will be responsible for placing and receiving orders for the company's products and preparing trade documentation, particularly purchase documentation for LC (Letter of Credit) transactions.
Understanding of Japanese culture and some Japanese skill will be advantageous.
WORKING HOURS: 9:00-17:30 from Monday to Friday
SALARY: £25K depending on experience
START: Around the end of October / beginning of November 2021
LOCATION: West London

Whole office administration:
· Receptionist, answering telephones
· Purchasing supplies for the office
· Filing documents
· Courier arrangement
· Arrange payments
· Liaising with banks
· Support to sales engineers,
· Assistant to the Managing Director

Manage company’s accountancy:
· Invoices, Proforma invoices
· Bank reconciliation
· Debit and credit notes
· Monthly cash flow forecast reports
· Weekly order reports, Monthly sales reports
· Expenses
· Preparing and keeping records of all accounting documents and liaising with the outsourced company in charge of our company’s accounts
· In charge of fiscal audit
· In charge of customer payments follow up

International and national trading procedures:
· Reception and processing of the purchase orders.
· Shipping instructions and shipping documents.
· Dealing with LC payments from our clients.
· Liaising with our headquarters’s (in Japan) export/logistic department and customer every shipment.
· Organize collections or deliveries from our stock in the Netherlands.
· Liaise with the warehouse company in the Netherlands.
· Follow up the payments from our clients.
· Import procedures when necessary in the UK and in the Netherlands.
· Manage company’s stock in the Netherlands

· Previous work experience in logistics sector
· Previous accounting experience
· Good PC skills
· Flexible and positive attitude
· Business level English
· Some understanding of Japanese culture and Japanese language would be advantageous
