A growing, very well established, SME international commodity trading company based in inner North West London is looking for an accomplished PA & Office Manager to join their team by the very beginning of September 2018
This is an exceptional opportunity for a very motivated individual to join a dynamic business and to contribute to its sustained growth.

This will be for an initial 1 year fixed term contract, with very strong likelihood of then becoming permanent after this.

Applications are welcome from individuals who are highly organised, detail oriented, pro-active, outgoing, and flexible. The role will include both Office Management functions as well as providing PA and secretarial support to senior management.

TYPE: 1 year fixed term contract, with very strong likelihood of then becoming permanent
HOURS: Full time; 9.00am - 5.30pm Mon-Fri
START: by 5th Sept at very latest
SALARY: £30-35K, depending on experience

Office Coordination
• Providing support to the CEO including business & personal diary management, meeting, travel and email arrangements
• Managing team diaries & holidays, scheduling and coordinating internal and external meetings with minute taking, conference calls and other activities as required
• Organising travel arrangements and bookings for the commercial team, including business/travel visa applications
• Coordinating participation to trade fairs & exhibitions, booking stands and production of relevant collaterals & brochures
• Other ad hoc secretarial support to CEO, e.g. writing letters, faxes, photocopying, etc.
• Organising team events & entertainment
• In charge of sending information to the team by email as requested by Senior Management
• Providing support to the commercial team for projects
• Management of product sample database, stock management and packing/shipment to clients, including dealing with customs clearance

Office Management
• Managing suppliers to the office including couriers, telephone, internet, cleaner, etc.
• Maintaining office stock including printer supplies, kitchen supplies, stationery, etc.
• Assisting team members with IT and mobile phone requests
• Ensuring appropriate filing of all electronic and paper files
• Welcoming visitors, answering/redirecting phone calls and emails, opening the post and dispatching to relevant team members
• Ensuring that the office and the kitchen are kept tidy and well maintained at all times
• Ensuring that corporate trade memberships and subscriptions are renewed in time
• Ensuring that new employees are provided with PC and phones, working properly
• Management of petty cash

• 5-10 years stable working experience in a similar, broad ranging Office Manager/PA role in a busy SME environment
• Live in or easy commute to the NW10 / Willesden Junction station area
• Highly organised, efficient and tidy – taking pride in creating a harmonious and pleasant office environment
• Attention to detail to manage daily tasks effectively and ensure they are completed and in-hand
• Excellent time-management skills with self-confidence and maturity to work with Senior Management
• Strong awareness of ethics and confidentiality requirements
• Flexible working style, enjoying adapting to different day-to-day tasks
• Proficient / confident use of Excel, PowerPoint, Word
• Confident with standard IT systems such as email providers, printer set ups etc.
• Used to working in busy office environment, enjoy multi-tasking, pro-active and confident to sort out issues
• Excellent presentation skills, polite, friendly and confident phone manner
• Good written skills in email communication, with clients, suppliers and the team

**Successful candidate is required to pass ADR / IATA Dangerous Goods Regulations (DGR) course, at company expense, due to certification requirements for product sample management & dispatch**
