Sales Administrator – International Trading Company

A well established and prestigious trading organisation are looking for a sales administrator to join their busy London office.
In this role you will support the Unit General Manager, Department General Managers and team members, and business, accounting, administration and IT support within the Business Unit.

The Role

• Provide PA support to Unit General Manager, Department General Managers and team members

• Provide quality administrative support to the Business Unit’s and Departments’ business operations including filing, scheduling meetings, arranging and managing all business trip requirements and expenses, processing all relevant invoices and general administration duties within the Business Unit and the Departments

• Assist in arranging international exhibitions for Ship & Marine and Aerospace which will be held in Europe

• AP administration/input of contractual data, issuing invoices

• Internal applications (transactions, payment requests, listings update and customer registration)

• Set up and manage timely delivery of any commercial or logistics documents to customers and suppliers, if necessary

• Monthly budget monitoring and reporting

• IT support to the Departments as an IT promoter

• Internal communications with various departments in SCEU and Tokyo Head Quarters

• Issue Sales Contracts, Purchase Contracts and exchanging, if necessary

• Provide all shipping information and shipping documents to customers and counterparties in a timely manner. Record and control all information on the internal spreadsheet and maintain shipping document files, if necessary

• Ad hoc secretarial tasks

The Ideal Candidate

• Previous administration experience is required
• Excellent PC skills (Excel, Word, Outlook, PowerPoint)
• Competent communicator with excellent organisational/time management skills
• Confident multi-tasker, accurate, precise and reliable
• Able to perform under pressure and to strict deadlines
• Experience working within a multicultural business environment is an advantage.
• Basic understanding of accounts and experience with SAP and Concur would be
