Prestigious City trading company seeks and Administrator/Trade Assistant for a new position in a newly set-up Middle Office to improve the administrative capability in the company, and to provide support to front office to enhance business development.

To provide the MD and other team members with administrative support as well as trading support for day-to-day trading operations.

The Trade Assistant role will also provide day-to-day assistance to the commodity trading business for various commodities using a variety of transaction types, including physical precious metals and natural gas, derivatives in base metals, energy (oil and gas), agricultural products, and other relevant financial transactions. This role will ensure that all trades are entered into the database to allow the front office, back office and accounting departments to manage operations smoothly.

Administrative duties include organising tasks in order to ensure the company operates in the most efficient and effective way. This includes schedule management, meeting arrangements, arranging settlement of expense (with SAP and Concur), creating necessary reports to shareholders and regional headquarters, managing documents and electronic files.

POSITION IN ORGANISATION
This position reports to the Managing Director and/or to the Head of Middle Office.

SCOPE OF JOB
Administrator:
• To provide administrative services to the company, including diary and schedule management, assisting with the arrangement of internal and external meetings, making arrangements for guests and visitors. This includes taking internal pre-authorisation.
• To arrange settlement of expenses by SAP and issuing and delivering invoices, ensuring all necessary payment are made and acknowledged by liaising with the accounting department.
• Assisting the organisation to create reports required by shareholders and/or regional headquarters.
• Assisting the organisation to manage documents (hardcopy, saved documents in shared server) properly.

Trade Assistant:
• Checking and inputting transactions into the database (various commodities with transaction types, including precious metals, base metals, energy (oil and gas), agricultural products, and relevant financial transactions)
• Liaising with back office / accounting department to help ensure operations run efficiently, and
• Preparing and maintaining internally-required reports for risk management (position, P&L, credit exposure, cash balance etc.) to support traders and managers.

DIMENSIONS AND LIMITS OF AUTHORITY
• Non-managerial position and therefore supporting and reporting to the MD and other managers

QUALIFICATIONS/SKILLS/PERSONAL QUALITIES
• Proactive, self-starting individual with high levels of ownership
• Ability to prioritise workloads to meet deadlines and the ability to work well under pressure.
• Strong organisational skills with flexibility in supporting a small team.
• A willingness to learn new skills and to adapt and develop existing skills.
• Strong communication skills and the confidence to communicate with individuals at all levels, internally and externally.
• Attention to detail, numerate with good analytical skills
• Strong in Microsoft Office, especially Excel (Macro & VBA skills are desirable)
• General expertise in accounting
• Control awareness
• Any additional language abilities would be an advantage.

6. EXPERIENCE
• Administrative and support work gained in a trading based environment.
* Min 1 – 2 years’ experience in the financial services industry or a commodity trading company would be ideal.
• Experience in supporting a team in an administrative role is essential.
• Experience of working within a multicultural business environment is an advantage.
