Japanese-Speaking Associate, Office facilitator & HR administrator

A well-known Japanese Bank is seeking an Office facilitator & HR administrator who has similar experiences within corporate environment


• Coordination of the (outsourced) office cleaners
• Conduct office facilities maintenance checks
• Maintaining a clean office & canteen
• Responsible for stationary & office supplies
• Arranging availability of office rooms with company training
• Managing food & beverages for company training, client meetings and social gatherings
• In charge of managing the annual company parties
• Support in expat-housing and related administration
• Deputise for the Facilities Manager when appropriate
• Responsible for the office item registrations

Customer support
• Welcoming visitors & clients
• First point of contact on Mizuho's central telephone line
• Process the customer (employee) parking requests
• Office Administration
• Responsible for the corporate credit card administration
• In charge of the parking, business travel and credit card policy
• Processing incoming & outgoing courier/postal services
• Managing the company car administration
• Support with regular reporting to Head Office for facilities
• Support with employee Risk Inventory activities

Human Resources
• Responsible for sick leave & holiday leave registration and administration
• Responsible for new hire & departure control sheets
• Responsible to coordinate the on-/off-boarding process of new hires
• Maintaining the HR Intranet Page and send employee related announcements
• Maintaining the organization-chart & telephone list
• Basic HR related administration (correspondence and contracts)
• Coordinate/arrange in-house training sessions
• (after implementation SuccesFactors) data input and maintenance HR data

• Strong communication skills, good time management and attention to details;
• Solid work experiences within multinational organisations
• Fluent spoken/written English and Japanese, Dutch is a bonus
• Discreet and able to handle confidential information appropriately;
• Strong ability to prioritise, multi-task and organize work;
• Good knowledge of IT skills including Word, Excel, PowerPoint and Outlook.

Contract: Full-time 9:00-17:00 / Mon-Fri
Salary: 30-35k euro + bonus + benefits
Location: Central Amsterdam, The Netherlands
Visa: No work permit support available
