Main purpose of the job:

Responsible for the company’s comprehensive financial and accounting duties by planning and directing relative activities, personally or through subordinate supervisors. To maintain a good scheme of all company finance and accounting. To liaise with other internal departments and also external groups to provide financial expertise and support.

Key result areas:
• Maintain an efficient financial and accounting department.
• Manage financial and accounting duties within the Finance Department.
• Reach and provide support to the Managing Director and the management team, through appropriate financial analysis as well as business analysis.
• Provide financial considerations for the financial implications of company decision-making prior to proceeding.
• To ensure that financial practices are in line with all statutory legislation and regulations.

Duties and responsibilities:
• Plan and direct the development and implementation of goals, policies, priorities, and procedures relating to financial management, accounting, and/or payroll.
• Managing the company's financial accounting, monitoring and reporting systems; supervising the maintenance of accurate sales ledger, purchase ledger and nominal ledger in accordance with UK accounting practice.
• Ensure that statistical reports necessary for the company's reporting needs are produced according to the appropriate timescales required by company and any other stated parties.
• Managing the company’s financial accounting, monitoring and reporting systems through developing financial management mechanisms that minimize financial risk.
• Direct the installation and maintenance of accounting records to show receipts and expenditures.
• Direct the maintenance of general and subsidiary ledgers, accounts receivable, revenue distribution, depreciation, cost, property, and operating expenses, and insurance records.
• Ensure that financial practices are in line with all statutory legislation and regulations.
• Maintain the requisite records of imports and exports (including Intrastat). To be aware of legislation in force and pending, regarding taxation, vat, exports and imports which may affect the company's accounting system and ensure that necessary action is taken so that the company's accounting records comply with legal requirements.
• Ensure that all monetary transactions, direct debits and standing orders are in accordance with legal contracts entered into by the company.
• Direct the installation and maintenance of new accounting, payroll, inventory, property, and other related procedures and controls.
• Act as co-ordinator between different departmental managers to ensure that the month-end and year-end accounting and computer procedures are correctly carried out without a loss of information.
• Providing the management team with accurate financial information, management accounts and data analysis.
• Consult with the Managing Director and maintain a system on forward foreign exchange contract and purchase of foreign exchange as required.
• Interpreting financial information and data, and analysing the on-going profitability of all ventures entered into by the company.
• Ensure that strong financial controls and procedures are in place.
• Monthly bank reconciliations and management of tax reporting and compliance.
• Handling and resolving financial queries.

Budget planning
• Assist the Managing Director in the annual budget planning and maintenance. Analyze financial performance against key business metrics and document pertinent financial highlights that will enable management to determine progress against budget.

Monthly management accounts
• Preparation of monthly management accounts.
• Produce the monthly financial report according to the appropriate timescales required by head office
• Provide financial Key Performance Indicator (KPI) data.

• Process the monthly payroll (including bonus and commission) and submit the requisite PAYE real time information (RTI) to the HMRC for all employees, excluding Japanese staff salaries.
• Maintain an efficient system of salary documentation for all employees.

Liaising with audit & external parties
• Coordinate preparation of external audit materials and external financial reporting.
• Liaising with auditors and any external accounting service agencies to ensure annual, as well as periodical monitoring is carried out.
• Developing external relationships with appropriate contacts, e.g. auditors, solicitors, external accounting service agencies, bankers and statutory organisations such as the Inland Revenue.
• Representing the company to liaise with HQ as well as other external financial parties and banks.
• Review financial statements with management personnel.

Cash flow
• Prepare regularly a cash flow forecast and monthly budget of all accounts payable, and advise the Managing Director of any cash flow problem which may arise.
• Monitoring and interpreting cash flow and predicting future trends, analysing changes and advising accordingly. Identifying the potential for making financial savings.

System enhancement
• Establish system controls for new financial systems and develop procedures to improve existing systems.
• Work closely with the dedicated IT staff as well as the Data Management team to ensure all financial data is secure.
• Act as co-ordinator for the networked computerised Finance System Support; assisted by the dedicated IT staff and assist the managing director with strategic planning of computerised systems in order to maintain compliance.

Company pension & insurances
• Be responsible for the provision and administration of the company pension fund.
• Be responsible for the coordination of matters to relating to company insurances ( including Death in Service).

• Managing and developing a team of finance and accounts payable professionals.
• Ensure that all personal involved in any of the above accounting operations are properly trained and supervised so that the day to day running of the finance and accounting functions within the company are carried out in an efficient and economical manner in accordance with all statutory legislation and regulations.
• Identify, investigate and analyse potential improvement, as appropriate. Based on findings, make proposals for operational changes (such as policy, procedures, etc.)
• Vigorously support the company's policies relating to the Quality Management System and requirements of EN/ISO9001:2008 and EN/ISO/IEC 80079-34:2011.
• Be continually aware of the requirements for quality and strive for improvements in all areas of work.
• Provide full co-operation to management in order to become part of a company team.
• Be responsible for keeping work areas clean, neat and tidy.

• Be fully flexible in carrying out jobs other than their normal job when requested to do so by their immediate supervisor, i.e. assisting in other departments.
• Understand and follow company rules and regulations.
• Perform all other duties as assigned and required.

Health & Safety:
• Support and comply with all matters relating to the company’s Health & Safety Policy.
• Ensure that all members of the workforce operate safe working practices and that all visitors to the company also comply with these practices.
• Ensure all fire exits are kept clear at all times and that staff and visitors are aware of the evacuation procedure.
• Where necessary, pay specific attention to manual lifting procedures and ensure that all personal protective equipment issued is maintained and used correctly.
