PA / Office Administrator Main Responsibilities:
● Support employee expense claims, arrange internal and external meetings, coordinate various events, and assist with logistics for VIP visitors
● Liaise regularly with travel agencies, hotels, chauffeurs, restaurants, and airlines
● Negotiate rates with vendors, consolidate relevant information, and share updates across departments
● Provide support for event operations and company accommodation arrangements as required
● Cover duties during team members’ absences or peak workload periods
● Handle filing, scanning, dispatching, and management of documents and records
● Perform general administrative duties, including invoice processing and expense reimbursement
● Assist with projects and ad hoc tasks as required
● Act as a facilitator for IT tools and systems
● Provide administrative support to team members
● Promote the sharing of software tool updates to improve operational efficiency
PA / Office Administrator Ideal Candidate:
● Extensive experience in office administration and clerical support
● Experience in secretarial and administrative support duties
● Excellent written and verbal communication, interpersonal, and negotiation skills
● Business-level proficiency in both Japanese and English
● Ability to work proactively and independently
● Strong multitasking skills with the ability to manage multiple tasks simultaneously and meet deadlines
● Ability to remain calm, organised, and efficient under pressure
● Strong attention to detail with a high level of accuracy
● Intermediate or above PC skills, including Microsoft Word, Excel, and PowerPoint
● Experience dealing with travel agencies, hotels, and restaurants is advantageous
● Previous experience working in an international or globally expanding company is preferred
● Experience in IT administration or knowledge of IT systems and PC handling is highly desirable
