A Japanese logistics company is looking for a Billing Agent (Airfreight).
You will be responsible for generating invoices and credit memos, maintaining customer records, and providing support to the accounting department by sending payment reminders to clients.
Your main responsibility is to assist both internal and external customers via phone calls and emails, addressing any concerns or questions related to invoices.

Billing Agent (Airfreight) Responsibilities:

Operational responsibilities
• Manage account balances to discover outstanding debts or other inconsistencies
• Collect all information needed to calculate bills receivable (order amounts, discount rates etc.)
• Check the data input in the CRM system to ensure accuracy of final bill
• Issue invoices and bills and sent them to customers through various channels (mail, e-mail etc.)
• Issue customer account statements periodically or whenever necessary
• Update accounting records with new payments, balances, customer information
• Punctual and accurate archiving of files
• Cost corrections when needed
• Report on activity to relevant share and stakeholders
• Updating and setting up rates in our CRM-system, assisting the Sales department
• Assisting the accountancy department with the month end year closure
• Timely signalling loss files and reporting to relevant stake and shareholders
• Checking ‘’file-completion’’ before archiving

Customer service-related responsibilities
• Coordinate with finance department to process and reconcile import-related invoices and payments
• Continuously identify opportunities for process improvement and implement best practices in airfreight billing operations
• Respond promptly to customer inquiries regarding their payment(s), providing accurate information and resolving issues effectively
• Handle customer complaints and concerns with empathy and professionalism, working towards swift resolution and customer satisfaction
• Provide proactive communication to customers, keeping them informed about any changes or updates related to their payments
• Collaborate with internal teams to address customer needs, such as arranging special handling or delivery instructions for sensitive or urgent shipments
• Maintain accurate records of customer interactions, ensuring all relevant details are documented for future reference and analysis

Billing Agent (Airfreight) Ideal Candidate:
• Experience in a logistics environment could be advantageous
• High proficiency in English
• Proficiency in financial management
• Good numerical skills
• Good communication skills and business etiquette
• Friendly and approachable demeanour
• HBO 4 Level qualified
