A global Japanese trading company is seeking an experienced Japanese speaking Executive Assistant to join its London office.
This is an exciting opportunity to provide comprehensive support to the Executive Officer for Global HR, act as a key liaison between Tokyo headquarters and regional offices worldwide, and assist the growing London-based Global HR team.

Type: Permanent, full-time
Salary: £43k-£52k, depending on experience
Working Hours: Monday to Friday, 9:00 – 17:00
Location: London (Hybrid – 3 days in the office, 2 days working from home)

Main Responsibilities:
Executive Support for Global HR Executive Officer:
• Coordinate and schedule meetings with Tokyo HQ, regional officers, and external partners
• Manage complex calendars across multiple time zones
• Arrange detailed travel itineraries, including flights, accommodation, and ground transportation
• Process expense reports and reimbursement claims
• Handle various internal applications and company procedures
• Act as executive proxy for administrative processes and correspondence

Group Assistant Support for London-based Global HR Team:
• Provide administrative support to a team of 5 members (with planned team expansion)
• Coordinate expense processing and reimbursement procedures
• Schedule and arrange team meetings and conference calls
• Make travel arrangements for team members
• Provide general admin support to ensure smooth team operations

Personal Assistant Duties for European CPO:
• Schedule and coordinate meetings and appointments
• Manage travel arrangements and itineraries
• Process expense reports and related documentation
• Provide admin support for business activities
• Provide Japanese-English interpretation as required

Ideal Candidate:
Essential:
• Fluent in Japanese and English (written and spoken)
• Executive assistant or administrative/PA support experience (around 5 years)
• Proven experience supporting C-level or senior executives
• Strong organisational and time management skills
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with travel booking systems and expense management platforms
• Background in international business settings
• Experience with complex calendar management and travel coordination
• Ability to handle confidential information discreetly
• Basic interpretation and translation skills
• Experience working in multicultural, multilingual environments

Preferred:
• Professional administrative or executive assistant certification
• Previous experience in an HR department or supporting HR leadership
• Experience supporting multiple executives at once
• Experience in a global corporation with regional office structures
• Familiarity with European business practices and cultural norms
• Experience with virtual meeting tools and remote collaboration
• Background providing admin support to team-based environments

Additional info:
• No business travel expected
• Attendance at company events or meetings in/around London may be required
